I started in September and have data back from then. With the new year coming up, I'll be following tracks that are currently running (FG, GP, AQU, etc) and I know you're supposed to have a new folder set up for a different year to download the data files to. So when using features like the track profile report, to build a new database for the new year 2016, do I start the first database run on Jan 1 using the option for

MODE 4 (Build From Scratch)

Overwrite Text File

Append to StarterHistory Table

That will allow me to see results back to September if I want to and incorporate Sep - Dec when looking at the data window? I'm playlist mode

I guess it's getting close to that time again. (Time to create folder structure for the coming new year.)

One of the things you NEVER want to do is mix and match files from different years on the same folder. The file names of data and results files that you download do not contain a year element.

If you fail to create (and use) folder structure for the new year:

Not only do you run the risk of overwriting 2015 files with 2016 files... But you also risk corrupting your 2015 databases in the event you run a db build using a 2015 data file and a 2016 results file (or vice versa) for file names involving the same track code, month, and day of month.

I (personally) use a single folder for each year with 4 separate sub folders (one per calendar quarter) and 2 additional sub folders (to facilitate breaking up my race day into multiple groups in the DFM Card Loader.)


My old 2015 folder structure looks like this:

C:\2015
C:\2015\Q1_2015
C:\2015\Q2_2015
C:\2015\Q3_2015
C:\2015\Q4_2015
C:\2015\Folder2
C:\2015\Folder3


My new 2016 folder structure looks like this:

C:\2016
C:\2016\Q1_2016
C:\2016\Q2_2016
C:\2016\Q3_2016
C:\2016\Q4_2016
C:\2016\Folder2
C:\2016\Folder3


Once files for 2016 become available for download - and for the first several days of the new year - I will be toggling back and forth between folders inside of the DFM - being EXTREMELY careful that all 2015 files are downloaded to my C:\2015\Q4_2015 folder - and that all 2016 files are downloaded to my C:\2016\Q1_2016 folder.

The first question that I see framed in your post has to do with build mode...

Mode 4 is the way to go the first time you run a build database on your new 2016 folder.

Use Mode 5 for each subsequent build on that folder thereafter.




The next question I see framed in your post is this: That will allow me to see results back to September if I want to and incorporate Sep - Dec when looking at the data window? I'm playlist mode...

This is how it works:

When you run build database routines on your C:\2016\Q1_2016 folder, the database builder is going to read data from the .JCP and .XRD files on the C:\2016\Q1_2016 folder and write it to the pl_profile.txt file on that same folder.

If you are running the Data Window in playlist file mode, if you have the Window pointed at the C:\2016\Q1_2016 folder - when you hit the ALL or UDM button - the Data Window is going to get its query results from the pl_profile.txt file on the C:\2016\Q1_2016 folder.

So under the scenario where you are operating in playlist file mode and have the Data Window pointed at a 2016 folder: You are only going to see 2016 results in the Data Window.

That said, if you are operating in playlist file mode, whenever you want to see 2015 results in the Data Window - it is easy to do so using the Folder Nav Tool Icon or the DFM. Simply point the Data Window at a 2015 folder before clicking the ALL or UDM button.

But under that scenario you end up toggling back and forth between folders... running a query to get 2015 results... and then running a second query to get 2016 results... and trying to combine the two in your head.

That's how I used to operate and it's one of the weaknesses of playlist file mode.




All of that said, if you are operating in playlist file mode - you DO have the ability to get the Data Window to give you query results spanning multiple folders. The best way to accomplish that is to use the Data Window's MENU - Exports - Quick Index File options.

The next question I see framed in your post is this: So when using features like the track profile report...

If you are operating in playlist file mode the default is that when using features like the track profile report you will have the Data Window pointed at a single folder at the time you run the export - and the data that shows up on something like a track profile report is going to span a single folder only.

The trick to getting around that limitation is to use the Data Window's MENU - Exports - Quick Index File options.

Hint: For instructions see the linked to thread from 2010 above.

From there, once you create a quick index file spanning multiple folders - you can open that file instead of the pl_profile.txt file when you run your export - and the result will be a track profile report (or alternately some other export report) that contains data spanning multiple folders.




Compare that to sql mode...

If you are running the Data Window in sql mode - when you hit the Execute button in the Data Window's SQL Expression Tool - the Data Window is going to get its query results from the StarterHistory table in the C:\JCapper\Exe\JCapper2.mdb file.

Under that scenario: The Data Window has the ability to display query results from any time period that you want.

You can easily limit your query results to a specific date range by embedding a factor constraint for the [date] field in the sql expression driving your query.
